Privacy Policy

Summary of Privacy Policy

The detailed policy precisely mirrors the structure outlined in this summary, serving not only as an informative guide but also as the official and legally binding document governing our practices.

Our privacy commitment: Qtrainers has maintained a consistent commitment: we have never engaged in the sale of your information to third parties for advertising purposes, nor have we generated revenue by displaying ads from external entities, and we assure you that we never will. This policy serves as a comprehensive guide, shedding light on the specifics of the information we collect from you, how we handle it, who has access to it, and outlines the actions you can take regarding your information. Our dedication to transparency and safeguarding your privacy remains unwavering.

Information Qtrainers collects and controls

We adhere to a principle of collecting only the necessary information, focusing on what is essential for providing you with the services you've requested. This includes actively provided information during actions such as signing up for an account, event registration, seeking customer support, or making a purchase. It's important to note that while we securely store your name and contact details, we do not retain credit card numbers unless expressly permitted, and even then, only within our secured payment gateways.

When you interact with our websites or utilize our software, we automatically log fundamental information, such as your entry point to the site, navigation within it, and the features and settings you utilize. This data serves a dual purpose: to enhance the functionality of our websites and services and to inform the development of new products.

Additionally, there are instances where we receive information indirectly. For example, if you inquire about our products through referral programs or reselling partners, or if you sign in to our products via authentication service providers like LinkedIn or Google, they transmit your contact details to us. We use this information exclusively to fulfill the specific request you've made.

Moreover, engagement with our brand on social media platforms brings another layer of interaction. Actions such as liking, commenting, retweeting, mentioning, or following us grant us access to your interactions and profile information. It's crucial to highlight that even if you later decide to remove this information from the social media platform, we retain a record of it.

In essence, our approach is centered on responsible data collection, ensuring that we only gather information that is vital for your interactions with us, and always with a commitment to security, transparency, and respect for your privacy.

What we do with your information

We leverage your information to fulfil your requested services, establish and manage your accounts, and monitor for any unauthorized activity. Communication-wise, we use it to engage with you about your current product usage, customer support queries, potential interest in new products, opportunities for feedback, and updates to our policies. The data we gather is thoroughly analysed to comprehend user needs and enhance our websites and services.

Operating within legal parameters, we ensure a valid basis for collecting and processing your information, either through your consent or the necessity to provide requested services. In cases where these don't apply, we establish alternative legal bases, such as our legitimate business interests.

You retain control over certain information uses, whether by abstaining from providing it initially or opting out later. Additionally, you have the option to disable cookies to restrict information provided by your browser, though it may affect certain website features. Across all Qtrainers websites and products, we completely deactivate non-essential and intrusive third-party cookies.

Access to your personal information is restricted to employees and contractors with a legitimate need, and when shared with external parties, they must adhere to stringent security measures and possess a valid reason for using your information, typically centered around serving your needs.

The rights granted to data subjects in the European Economic Area (EEA), including access, rectification, erasure, restriction of processing, data portability, and the right to object and complain, are extended universally by Qtrainers, irrespective of your chosen place of residence.

We retain your personal information for the duration necessary for the purposes outlined in this Privacy Policy. Once there is no legitimate need for processing, we ensure the appropriate action—deletion, anonymization, or isolation of your information.

Information that Qtrainers processes on your behalf

When you utilize Qtrainers apps to manage others' data, be it customer or employee information, you are placing that data in our care for processing. This includes scenarios where, through a Qtrainers mobile app, you grant access to your contacts and photo library, thereby entrusting data to us, referred to as service data.

You retain ownership of your service data, and we ensure its protection, restricted access, and processing solely in accordance with your instructions. You have the right to access it, share it through third-party integrations, and request exportation or deletion.

Your data is securely held within your account as long as you use Qtrainers Services. Upon account termination, your data is automatically removed from our active database within 6 months and from our backups within the subsequent 3 months.

For individuals in the European Economic Area seeking control over data entrusted to us (e.g., by an employer or a service-using company), specific actions can be requested. To exercise data rights, contact the entity that entrusted us with the data, and we will collaborate with them to address your request.

General

While we prioritize your privacy, there are certain limitations to the assurances we can provide. We may disclose personal information when required to fulfill a legal obligation, prevent fraud, enforce agreements, or ensure the safety of our users. Currently, we do not honor Do Not Track signals from internet browsers; however, we commit to adopting any universal standard once it is established.

It's essential to note that third-party websites and social media widgets operate under distinct privacy policies. Always review the relevant privacy policy before sharing personal information with such entities.

For any inquiries about our privacy practices, to request a GDPR-compliant Data Processing Addendum, report any concerns regarding the collection of personal data from a minor, or request the removal of your personal information from our blogs or forums, feel free to reach out to us. Additionally, you can refer to our Security Policy and Privacy Policy.

In the event of major changes to our privacy policy or, in an unlikely scenario, a decision to sell our business, we will notify you promptly.

Privacy Policy

The following Privacy Policy statement is presented by Qtrainers, collectively referred to as "Qtrainers," "we," "us," or "our."

Qtrainers Privacy Commitment

Qtrainers has prioritized customer and user privacy well before it became a popular, socially accepted, or legally mandated stance. Our approach involves seeking only the minimum required information, collecting what we deem essential for conducting business or facilitating specific transactions. Transparency is key—we inform customers about the data we have on them and provide the option to opt out of specific engagements. Our paramount commitment is evident in our steadfast refusal to generate any revenue from advertising, even with our free product editions. This principled stand allows us to avoid the inherent conflicts of interest between customer information gathering and advertising revenue, sidestepping compromises in customer privacy.

This policy aims to clearly outline the information we collect, how we intend to use it, and equally important, how we won't use it. While the policy may be more extensive than desired, it's crucial to comprehensively address all relevant scenarios. We strive to maintain simplicity and directness in the language to enhance understanding.

Part II – Information that Qtrainers processes on your behalf

Information entrusted to Qtrainers and purpose

Information provided in connection with services: You may delegate information that you or your organization ("you") manage to Qtrainers while using our services or seeking technical support for our products. This encompasses details about your customers and employees (if you act as a controller) or data that you manage on behalf of another individual for a specific purpose, such as a customer for whom you deliver services (if you are a processor). This data might be stored on our servers during your use of our services or conveyed to us as part of a technical support request or other service-related inquiries.

Information from mobile devices: When you opt to activate it, certain mobile applications developed by Qtrainers may request access to various features on your device, including the camera, microphone, call history, contact information, photo library, files, and other stored data. This access is crucial for these applications to deliver their services effectively. Additionally, if you grant permission, the applications may collect location-based information, which serves various purposes such as identifying nearby contacts or setting reminders based on your location. It's important to note that this location data is exclusively shared with our mapping providers and is used solely for mapping user locations.

You have the flexibility to disable access to this information at any time by adjusting the settings on your mobile device. The data stored on your mobile device, along with its associated location information, will be utilized within the specific context of the mobile application. If you choose to share this data with us, it will be stored on our servers, either for the services associated with your account or for the products linked to your account. It's worth emphasizing that all information entrusted to Qtrainers collectively falls under the term "service data."

Ownership and control of your service data

Your ownership of service data is a fundamental principle. We empower you with comprehensive control, enabling three key actions: (i) accessing your service data, (ii) sharing it through supported third-party integrations, and (iii) requesting export or deletion of your service data. This ensures your autonomy over the data you entrust to us.

How we use service data

We specifically process your service data based on the instructions you provide through various service modules. For instance, when utilizing our invoicing service, generating an invoice involves using specific details such as your customer's name and address. Likewise, in the email marketing module of our campaign management service, we use the email addresses from your mailing list for sending out emails.

Push notifications

When notifications are enabled on our desktop and mobile applications, we utilize push notification providers like Apple Push Notification Service, Google Cloud Messaging, or Windows Push Notification Services to send notifications. You have the option to manage your push notification preferences or disable them by adjusting the notification settings within the application or device settings.

Who we share service data with

Qtrainers and third-party sub-processors: To deliver services and technical support for our products, information may be shared between the contracting entity within Qtrainers and third parties.

Employees and independent contractors: We may authorize our employees to access your service data for specific purposes, including error identification and resolution, manual verification of reported spam emails, and validation of scanned images for optical character recognition accuracy. Access is restricted to designated individuals, with their activities logged and audited. Moreover, our employees may access data shared with us for technical support or data import into our products. We uphold stringent privacy and security measures, ensuring that guidelines are communicated and strictly enforced among our employees within the Qtrainers.

Collaborators and other users: Certain products or services enable collaborative efforts with other users or third parties. When you initiate collaboration, other collaborators may have access to some or all of your profile information. For instance, when editing a document shared for collaboration, your name and profile picture will be displayed alongside your edits, informing collaborators about your contributions.

Third-party integrations you have enabled: Most of our products and services offer integrations with third-party products and services. By enabling such integrations, you may grant the third-party access to your service data and personal information. We recommend reviewing the privacy practices of these third-party services and products before enabling any integrations.

Other cases: Additional instances where we may share information, similar to the details covered in Parts I and II, are outlined in Part III.

Retention of information

Your data remains in your account as long as you continue using Qtrainers Services. Upon terminating your Qtrainers user account, the data is scheduled for deletion from the active database in the subsequent cleanup, which takes place every 6 months. Following removal from the active database, the data is permanently deleted from backups within 3 months.

Data subject requests

If you're located in the European Economic Area and think that we process your information on behalf of one of our customers, please contact the customer directly for requests related to access, rectification, removal, restriction, objection to processing, or export of your personal data. We'll support our customer in responding to your request promptly.
